Privacy Policy

This Privacy Policy applies to ApexForge Operations, operated by Nirbhaay Singh (nirbhaay@apexforgeops.com). We provide AI-powered outbound email automation services to lead generation agencies based in the United States.

We collect and process the following categories of data:

Client account data: Name, company name, email address, and password hash for authentication purposes.

Lead data: First name, company name, email address, website URL, and optional research notes for leads provided by clients via CSV upload. This data is used solely to generate and send outbound emails on behalf of our clients.

Email credentials: Gmail OAuth tokens or SMTP credentials (host, port, username, password) provided by clients for sending emails. These are stored encrypted and used only to send emails on the client's behalf.

Email content: Subject lines and body content of emails generated and sent through the system. Stored in email logs for client reference and reporting.

Usage data: Timestamps, send counts, and sequence status for operational and reporting purposes.

We use collected data exclusively to:

• Provide the outbound email automation service
• Generate personalized email content using AI
• Send emails on behalf of our clients
• Maintain email logs for client reporting
• Authenticate client accounts securely

We do not sell, share, or disclose your data to any third party except as required to deliver the service (Anthropic API for email generation) or as required by law.

All data is stored on a dedicated Virtual Private Server (VPS) in Mumbai, India. Email credentials are stored encrypted. Passwords are hashed and never stored in plain text. We implement reasonable technical measures to protect your data against unauthorized access. By using our Service, you acknowledge that your data may be processed and stored in India.

We use the following third-party services to deliver our product:

• Anthropic API: Used to generate email content. Lead data (name, company, website) is sent to Anthropic's API for this purpose. Anthropic's privacy policy applies to this processing.
• Hostinger: Email infrastructure for sending outbound emails.
• Redis and PostgreSQL: Data storage on our dedicated server.

Client account data is retained for the duration of the service agreement and deleted within 30 days of account termination upon written request. Lead data is retained for the duration of the active campaign plus 90 days, after which it is deleted automatically. Email logs are retained for 12 months.

You have the right to:

• Request access to your personal data
• Request correction of inaccurate data
• Request deletion of your data
• Object to processing of your data
